Information we collect
When you contact us or request a quote, we may collect your name, email address, telephone number, postcode or service area, the service you are interested in, information about the garden or property, photographs you choose to provide, your correspondence with us, and your email-marketing preference.
Why we use your information and our lawful bases
- Enquiries and quotations: to respond to you and take steps you have requested before entering into a service contract.
- Providing services: to perform a contract with you where you accept a quote and book work.
- Business administration and legal matters: where necessary for legitimate interests, legal obligations, accounting, security, fraud prevention, record-keeping or the establishment, exercise or defence of legal claims.
- Email marketing: where you have actively chosen Yes and given consent to receive marketing emails.
Quote-form privacy acknowledgement
The quote form asks you to confirm that you have read this Privacy Policy. This is an acknowledgement of how your enquiry information will be used; it is not the lawful basis for processing information that is necessary to respond to the quotation request you asked us to handle.
Email marketing
Marketing permission is separate from your quote request. You can choose Yes or No and your choice does not affect whether we consider your enquiry. If you choose Yes, we may send occasional emails about garden-care services, seasonal tips, company updates and offers. You can withdraw your marketing consent at any time using the unsubscribe option provided in a marketing email or by contacting info@tillthelandltd.co.uk. We may keep a minimal suppression record after an opt-out so that we can respect your preference.
Who we share information with
We do not sell personal information. Where necessary, information may be shared with service providers that support website hosting, email, IT, storage, accounting, payments or business administration; professional advisers; insurers; waste-management partners where relevant to a job; and public authorities where disclosure is required by law. We only share what is reasonably necessary for the relevant purpose.
International transfers
Some service providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we will use an appropriate lawful transfer mechanism or other applicable safeguard.
How long we keep information
- Quote photos uploaded through the website: temporary website copies are normally removed within 30 days. Copies included in an enquiry email or retained with a customer record may be kept for the enquiry or job-record period described below.
- Quote enquiries that do not become jobs: normally up to 12 months after the last meaningful contact, unless there is a reason to keep the information longer.
- Customer, job, invoice and accounting records: normally up to 6 years where reasonably needed for tax, accounting, contractual or legal purposes.
- Marketing records: for as long as you remain subscribed, with a minimal suppression record retained after you opt out where necessary to make sure we do not market to you again.
We may keep information for longer where required by law, a dispute, insurance requirement or legal claim. Information no longer needed should be securely deleted or anonymised.
Security
We take reasonable organisational and technical steps to protect personal information from unauthorised access, loss, misuse, alteration or disclosure. Access to customer information should be limited to people and providers who need it for legitimate business purposes.
Cookies and similar technology
The current public website does not intentionally use non-essential advertising or analytics cookies. Our hosting provider may still process technical information needed to deliver and secure the website. If we later add non-essential analytics, advertising pixels or similar tracking technology, this notice and the website consent controls should be updated before those technologies are activated.
Automated decision-making
We do not use the information submitted through the quote form to make solely automated decisions that produce legal or similarly significant effects. The Instant Price Guide is an indicative calculator only and does not create a contract or final quotation.
Your rights
Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase, restrict or object to the use of your information, and to receive certain information in a portable format. Where processing is based on consent, you can withdraw that consent. You also have an absolute right to object to direct marketing.
Complaints
Please contact us first if you have a concern about how we use your personal information. You also have the right to complain to the Information Commissioner’s Office.
